Part Time Administrative Assistant (£29k pro rata)
Job title: Administrative Assistant
Location: Hybrid of home-working and office based at Platf9rm, Brighton
Terms: Permanent, Part Time
Salary: £14,500 per annum (or £29,000 pro rata’d)
Requirements: Client responsiveness is a priority so hours will be required across 4-5 days of the week
Purpose of the role: To provide comprehensive administrative support for Lauren Stoney Coaching Ltd, ensuring a seamless client journey, accurate data management, and efficient delivery of all programme components.
Key Responsibilities:
- Manage all client communications from initial contact through to programme completion, including responding to queries, sending out next steps, and ensuring all required steps are completed (application, onboarding materials, pre-programme calls, payment, training questions, follow-up, feedback, testimonial).
- Update and maintain client records in the company CRM and tracking systems, ensuring all data is accurate and up to date.
- Track and manage stock of materials, flagging low stock levels where needed.
- Schedule and coordinate all client coaching and accountability sessions.
- Keep track of client status and ensure they are given the correct communication for each stage of the client journey.
- Manage the weekly KPI reporting process.
- Liaise with external partners and suppliers as required.
Experience:
- Experience in administration, customer service, or similar roles
- Experience in coaching, health, or wellness sector (desirable)
- Experience with data reporting and KPI tracking (desirable)
- Experience of Brevo and/or Dubsado (desirable)
Skills & Abilities:
- Excellent organisational and time management skills
- Strong written and verbal communication
- High attention to detail
- Ability to manage multiple tasks and deadlines
- Proficient in using CRM systems, spreadsheets, and email
- Ability to adapt communication for different client needs and scenarios
Personal Qualities:
- Proactive and self-motivated
- Discreet and able to handle sensitive information
- Client-focused and empathetic
- Flexible and able to adapt to changing priorities
- Interest in personal development or coaching (desirable)
Knowledge:
- Good IT literacy
- Willingness to learn about Lauren Stoney Coaching’s offerings
- Knowledge of coaching or personal development programmes (desirable)
Other Requirements:
- Based in Brighton / prepared to work in a Brighton office at least two days a week whilst being able to work remotely and independently.
